Q. How do I update my email address in My Account?
A.

To update your email address for the main account holder, just log in to your My Account area.

Now that you are logged in, click on the My Settings tab on the upper part of the screen.

Next, click on the Account & Billing info link in your My Settings Contol Panel and simply update your email. Be sure to press the green Update button and your new email address will be saved.

Q. How do I register for a Samson Tours Account?
A.

There are two ways to register for an online account.

  1. Sign up for a tour. Upon completion of Step 1, your account will be created and a confirmation email sent.
  2. Register as a Member.
Q. How do I log in to my account?
A.

Log in to your account. Please note that usernames and passwords are case-sensitive and passwords must be 8 characters long.

Q. I forgot my password. What do I do?
A.

If you forget your password, no worries. Go to the Login page and click on the Forgot Password link. Enter your email and click Submit. A new temporary password will be sent to your email account. Return to the  Login page and enter your email address and your new password. Once logged in, you can update your password by simply clicking on the Settings tab on the upper right hand corner of any web page. You. can now click on the Change Password link in your My Account control panel. Please remember that passwords must be 8 characters long and are case sensitive.

Q. How do I update my password?

Q. How do I update my reservation?
A.

You can update your reservation anytime up to 2 months before departure.  If, for example, you initially signed up as a Single (paying a Single Supplement) but now have decided to share a room to reduce costs, then you can update your order and your balance will be applied. Here’s how:

Log in to your account and select the tour you have registered for in your Bookings panel. From any of the tabs, click on the Update Reservation button. This will take you back through the checkout process for Steps 1 & 2. You do not have to make any additional payments, but can proceed to Step 3 to make additional payments if you would like. Go back to your My Account page and check to make sure that all of your choices are correct.

If you have a credit balance as a result, then we will refund you the difference before the start of your tour.

Q. How do I make additional payments after I’ve already signed up?
A.

Our system has now streamlined the way our travelers make payments, allowing you to set your own budget and make payments as you go. For security purposes, and due to the high sums that we collect through our website, we do not keep your credit card information on file. To make additional payments towards your balance, log in to the My Account area. Once there, select the tour you want to make a payment for. Beneath your tour section, click on the Payments tab. Review your balance and select whether you want to pay by credit card, check or money order by selecting the various tabs. Finally, enter the amount you want to pay and press the Submit Payment button.

Q. Where do I update my Traveler Details (Passport Info, etc)
A.

If you simply want to update your Traveler Details with passport information, etc, then log in to the My Account area. In your tour area, click on the Traveler Info tab and complete all of the missing fields. It is important that you fill in all the fields marked with an * no later than 3 months before your departure.

Q. How can I delete my account?
A.

If you would like to delete your account for any reason, please drop us an email with this request via our Contact Page and we’ll honor your request within 1 business day.

Q. What are your office hours?
A.

Our office hours are from 7am-3pm EST, Sunday-Thursday. We conduct most of our business from Israel which is (UTC+02:00). Therefore, if it is 9am EST, then it is 4pm throughout most of the year in Israel.

Q. Can I download the images on your site or in Stops?
A.

All images that are credited to and watermarked with Samson Tours.com may be downloaded and used for educational purposes only provided that the watermark remains. If used on a website, you should provide a Credit Name and Link to the webpage from which the image was found.

If an image does not contain a watermark or is credited to anyone other than "Samson Tours’ then the image may not be downloaded under any circumstance without the Credited person’s explicit permission.

Q. Can you provide a wheelchair or other medical equipment?
A.

Absolutely. Samson Tours work with Yad Sarah, which has locations in most major cities throughout Israel. Yad Sarah will provide you with most non-prescribed medical devices (wheelchairs, oxygen cylinders/concentrators, .) to tourists who visit Israel. They require typically a 1 week notice prior to arrival and require a deposit. Samson Tours will always put up this deposit on your behalf. If you would like to leave this deposit in the form of a donation, then we would request reimbursement. For a specific medical device (other than wheelchairs), make sure that you notify us with your exact needs at least 1 week before departure.

Q. Will my medical conditions or disabilities prevent me from joining a tour?
A.

If you are traveling with us on a group tour, it is important that you specify if you have any medical conditions or disabilities. Firstlly, we need to plan properly. If you have a disability that requires a wheelchair, then we’d like to have one at the airport to assist you from the start. If you are a diabetic, we’d like to make sure that you have a refrigerator in your room for your insulin. Secondly, we need to build the itinerary in a way that will allow you and others to maximize your experience. Do keep in mind that the Middle East is not the most disability-friendly region in the world. Some sites, and even some entire tour days, may not be suitable for you and you may have to forgo an experience. Our guides always try to accomodate you in the field the best way possible, so that you can experience the Land to its fullest potential.

Q. Can you assist with a GLUTEN-FREE diet?
A.

The hotels we put our groups at have a wide variety on their buffets that usually meet your demands. Upon registration, we add your request to the hotel passenger list and make sure that the hotel knows of your needs over a month in advance which gives them logistically enough time to prepare their kitchen to make sure they have the types of food needed on hand. This still is never enough, and so it is the guide’s job to make sure upon arrival to each of the hotels to speak with the restaurant manager (you’ll join in on this conversation) to ensure that everything is on hand and served to you along with the group.

We try to beat incompetence at every level, but you must come with patience and flexibility. Lunches are more of a challenge, because we do not have set places to eat every day as the schedule can vary in the field and not all restaurants will be prepared for such (especially when they are mere falafel or schwarma - fast food stops). In this regard, we would recommend the following: that you bring with you a supply of snacks and instant foods that can be prepared at each stop. Alternatively, on the day of arrival, we can take you to a grocery store and/or health food stop to purchase what you need or you can send us this list in advance, and we will try to acquire as much of what you need before your arrival. Gluten-free food/snacks cost probably 20%-40% more than it would cost you in North America; therefore, we recommend bringing as much in advance as possible.

For evenings where we are not eating at the hotels and out on your own, we recommend that you start gather various restaurants in the Jerusalem, Tel Aviv and Eilat areas that have Gluten-Free menus. A few simple searches of websites like (http://www.israelinsideout.com/Gluten-Free-Restaurants/gluten-free-restaurants-nationwide.html) can assist in this regard. Of course, these hotels have great concierges that can assist, and a representative (i.e. the guide) that is always on his/her toes to help you.

Upon registration, or at any time, you can email us the list of preferred gluten-free foods you would like us to request and how you would like them prepared of the hotels. Naturally, it is your responsibility to reimburse us for these costs upon receipt, understanding that returns are not accepted.

Q. Why am I not receiving updates or emails from you?
A.

Please add our main "sales@" email address to the Address Book of your email account. Check your Spam folder and make sure that none of our emails appear there. If we are in your Spam Box, mark us as "Not Spam". If you are having any more difficulties, please contact us. "Just knock, and you shall receive."

Q. What airlines do you use for group travel?
A.

Samson Tours has direct contracts with the following airlines: El Al Airlines, United/Continental, Air Canada, US Airways, Delta and Iberia Airlines. These airlines have proven to have the best prices, flight times and supply for travel directly to Israel. Should a tour leader request a different airline, we always honor that request, especially when a stopover is required in a different country (Rome, Turkey, Egypt, Greece etc.) .

Q. What does BB stand for?
A.

BB or B & B stands for Bed & Breakfast. No dinner will be served at the hotel on this day.

Q. What does HB stand for?
A.

HB stands for Half-Board, which means Breakfast and Dinner will be served at the hotel on this day.

Q. What are your Terms & Conditions?
A.

Terms and Conditions are tour-specific. Each of our tours has its own set of unique terms and conditions and can be located on a particular tour’s Learn More page, accessible by the tab marked as T&C.

Q. Why is the cost of the Single Supplement so high?
A.

For single travelers, a single supplement fee for the hotels is required. This usually amounts to around 90% of the Double Room cost. The cost is high due to the high demand and low supply of hotel space in Israel.

Q. What happens if I sign up for a double room and my roommate cancels?
A.

You are welcome to contact us or the tour leader at anytime to see if there happens to be another traveler who is also looking for another roommate. If no roommate is found before the final cutoff date, you may be required to pay a Single Supplement.  If the roommate’s cancelation took place at the last minute (just before departure), we may be able to transfer some of the roommate’s cancelation fees (charged by the hotel)  to cover some or most of the Single Supplement fee.

Signing Up & Checkout

Q. Do I have to sign up online to join a tour?
A.

While it is in your best interest to sign up online with a valid email so that you receive group updates,  you can register for any of our tours by phone, fax or email. Before you register via any of these methods, you should first download and print the tour’s brochure from the Learn More page. At the end of the brochure, you will see an offline registration and payment form which you should fill out. You can then either fax, email or phone in these details to our Sales office.

Q. Do yo require a deposit for signing up?
A.

Yes. The minimum deposit required for sign-up is $50.00 and varies from tour to tour.  On the first stage of the Sign-Up page, you will see the minimum deposit required (highlighted in red) for the tour in the running total off to the right.

The deposit is completely refundable up to 3 months before departure (less merchant credit card which range from 2-4%). After that, the deposit is non-refundable but you can apply the deposit to any future tour with us.

Q. How can I update my order once I have already signed-up?
A.

YES. You can update your reservation easily from within your online account or by contacting us. Once you have logged in, select the tour you would like to update, scroll down the page slightly and click on the Update Reservation button. This will take you back through the checkout process for Steps 1 & 2. You do not have to make any additional payments at this time, but can proceed to Step 3 to make additional payments if you would like to.

Q. Can I complete the checkout process at a later time?
A.

If you have completed Step 1 of the Registration process and have received a welcome email from our stystem, then all of your details have been saved. Once you are ready, simply sign back in your account to complete the registration or cancel it. 

Payments

Q. What are the timelines for my payments?
A.

To view the timelines for your payments, please visit the Learn More page for your tour and click on the Group Info tab or visit the T&C section for your tour.

Q. How do I make additional payments?
A.

To make additional payments, go to My Account. In the Bookings Panel, click on your and review the various tabbed sections that appear beneath. Choose the Payments tab and follow the instructions there. Note: you will need to re-enter your credit card details (we do not keep them for security purposes). You can then enter whatever payment amount you’d like to make.

Q. Do you accept credit cards?
A.

The answer is YES. We accept all major credit cards (Visa, MasterCard, Discover, American Express).

Q. Do you store my credit card information?
A.

No. We store only your billing details and the last four digits of your credit card for confirmation purposes. All of our credit card payments are processed through First Data Merchant Services. This information is not stored in your User Account and you will need to reinput your credit card information when making additional payments.

Q. What kind of payments do you accept?
A.

We accept all major debit and credit cards (Visa, MasterCard, Discover, American Express), check, money order and wire transfer.

Q. How can I pay by check?
A.

When you reach the final stage of the booking process, you will select whether you want to pay by credit card, check or money order. The default payment is credit card. To pay by check, click on the Check tab and enter the following information (not required): Name of the Account Holder (the name on the check) and the check number. From there, simply enter your payment amount and Submit your payment. Your payment will be considered "Pending" until we have received the check. Upon successful deposit, we will manually update your payment to "Approved" in the Bookings section of your Account.

Note: If you paid your intiial deposit by credit card, you can still make any additional payments or pay off your balance by check.

Getting Prepared

Q. What kind of electrical supplies do I need?
A.

The voltage in Israel is 220V; the frequency is 50 Hz. All electrical outlets are either Type C or H.

For most electronics (cell phones, laptops, smart tablets, etc.) you will only need a two-pronged, European-style Adaptor. For hairdryers, back massagers, you will most likely require a Convertor.

Q. What do I need to know about Passports and Visas to Israel?
A.

Did you know? The US Postal Service offers Passport application services at many of its branches. Visit their website for more info.

For non-passport holders: Be sure to apply no later than 3 months before the time of group departure by either applying at the USPS or downloading application materials from the US Department of Defense’s website.

For passport holders: Be sure to renew your passport no later than 3 months before group departure. Also, make sure that the expiration of your passport is no less than 6 months from the time of your departure. If you are extending your trip to other countries outside of Israel, you should check with the U.S Department of Defense website for information regarding Entry/Exit Visas for the country of your choice.

For non-US citizens: Make sure you have the appropriate visa for Israel and any other extension countries by contacting your country’s embassy no later than 3 months before departure.

Other: As we travel, it will not be necessary for you to bring your passport with you at all times. On most days (with the exception of your visit to Bethlehem or other parts of the West Bank), you may find it best to leave your passport either in the hotel’s safe or the bus’ safe. You should, however, keep a copy of your passport with you at all times for purposes of shopping at Tax Refund stores and in the case of a medical emergency. Don’t forget to also leave a copy of your passport with a friend or family member back home.

Q. What do I need to know about Passports and Visas to Jordan?
A.

Travelers who are arriving to Amman individually by air, and not as a group of 5 or more, will acquire a visa on their own upon arrival to Amman airport. The cost as of November, 2012 is 20 JD ($30). Again, you do not have to pre-acquire the visa before departing from the USA. You can visit Jordan’s Ministry of Tourism’s Travel website to confirm these details.

For groups of 5 or more who are arriving to Amman, either by air or via one of Israel’s border crossings, Samson Tours and/or its Jordanian Tour Operator will acquire your Visa for you.

Q. Will it be a problem crossing the border into Jordan with an Israeli stamp in our passports?
A.

The answer is NO. Since 1993, Israel and Jordan have maintained a peace treaty that mutually recognizes the sovereignty of both states and allows for tourist travel between both countries.

Q. What is the best way to access my money?
A.

ATMs are widely available throughout Israel. Shortly after arrival to Ben Gurion International airport, you’ll have the opportunity to either withdrawal monies in either Shekels (all bank ATMs) or U.S. dollars (Leumi Bank only) from your debit or credit card or exchange some of your currency for Israeli shekels through any number of readily accessible Change Places.

Traveler’s checks are discouraged as most change places charge a fee or provide you with a lower exchange rate for them. $100 bills provide you with the best rate of exchange. To check the current exchange rate, visit Yahoo’s currency converter by searching “currency converter.”

Q. How much should I budget for lunches?
A.

Throughout much of the tour, we’ll be eating at Israeli versions of fast food restaurants which range from $10-$15 (includes a soft drink). A good seafood restaurant on the Sea of Galilee may cost around $25 on average, so a budget of around $15 per meal, per day should suffice. Note: Just to give you an idea, the average McDonalds value meal in Israel costs around $12.00.

Q. What is your recommended packing list for Christian Groups?

Q. Can I wear shorts throughout the tour?
A.

If you want to wear shorts all the time, we suggest that you bring a wrap-around skirt (ladies) or pants (men or ladies) that you can slip on easily before entering any of the holy sites.

Q. How do I pay the gratuities for guide and driver?
A.

The gratuities for the guide and driver are collected by the tour leader in cash at the beginning of the tour. For some groups, these are included in the cost of the tour (see the Inclusions/Exclusions section of your Group Page - ’Learn More’). These gratuities heavily subsidize the expertise and quality of the guides and drivers we choose for each tour. Keep in mind that both guides and drivers are considered sub-contractors and will spend at least 5 of the 10 nights of any given tour away from their families on your behalf. Do note also that the recommended minimum for each person can fluctuate from tour to tour based on the group’s size.

Travel Insurance

Q. How do I select travel insurance for my group tour?
A.
After many years of business, Samson Tours has recently ended relations with Travel Guard Travel Insurance, which has been apparently been acquired by AIG. We are in the process of removing all details from our website and will be posting a new preferred travel insurance agent soon. If you need travel insurance, we highly recommend you to contact your credit card provider for the best policy that serves you all around. Note: As travel providers, we are not allowed to advise on specific travel insurance policies. This can be done only through the third party.
 
Q. Can you offer advice on which policy to purchase?
A.

Samson Tours is only a facilitator of Travel Insurance and cannot answer specific questions about travel insurance as contracts vary from state to state.

Click it, and you should get all the info you need under the various tabs.

Q. Can you offer a group rate on travel insurance?

Policies

Q. What is your policy in the case of Force Majeure?
A.

If Samson Tours or its tour leader decides to postpone the tour due to the political climate, airline disputes or any other acceptable reason for force majeure, then your balance will carry over to the new tour dates. Depending on the new dates, there may be an increase in costs for tours that are rescheduled within 1 year. If you are unable to join the new tour dates, then you will be entitled to a full refund (less the deposit, which can be applied to any future tour).

Q. What are your Refund Policies?
A.

All payments are fully refundable (less merchant credit card fees) up to 3 months before departure. Unfortunately, the Credit Card companies do not refund us these fees and they range from 2-4%, depending on the type of card you use. If you would rather convert your payment to a Gift Certificate that can be used for future travel or apply them to a different tour in our system, then naturally these fees are not deducted and your full balance is carried forward to that new tour.

Be it known that Samson Tours, Inc. (owner of www.samsontours.com) has been granted license and is regulated by the relevant laws of Florida, USA and the State of Israel.

The User Agreement

1. Introduction

(i) Once you have accepted the terms and conditions of our offer (as expressed herein), this User Agreement (the "Agreement"), being a legally binding agreement between you and Samson Tours, Inc. (a.k.a. the "Company") as updated from time to time, will govern your use of the www.samsontours.com  website or equivalent or replacement uniform resource locators (the "Site") and our software (as defined in Section 4 below).

(ii) The Company has been granted a license by the State of Florida through a certified corporation (Samson Tours, Inc.) for the purpose of providing travel services.

(iii) The Site allows you to download and/or use our Software for the purposes of reserving travel space over the Internet (the "Service"). The Company reserves the right to suspend, modify, remove, or add to the Service in its sole discretion with immediate effect and without notice, and we shall not be liable for loss suffered in consequence of any changes made.

(iv) No one under the age of 18 or the age of legal consent for engaging in the activities included in the Service under the laws of jurisdiction that applies to you, whichever is greater, may download the Software or use the Service under any circumstances, and any person under the age of 18 who downloads the Software or uses the Service will be in breach of the terms of this Agreement. We reserve the right to request proof of age at any stage to verify that minors are not using the Service. We may cancel a person’s account and exclude a person from using the Software or the Service if proof of age is not provided or if the Company suspects that a person using the Software or the Service is underage.

(v) At all times, you may only have one account, for which you will register using your own, correct name. You may not access the Software or use the Service by means of another person’s account. 7. Your Account

(iii) The Company has no obligation to maintain account names or passwords. If you misplace, forget, or lose your account name or password because of any reason other than the Company’s error, the Company shall not be liable.

11. NO WARRANTY

(I) THE SERVICE AND THE SOFTWARE ARE PROVIDED "AS IS." (II) WE MAKE NO WARRANTY THAT THE SOFTWARE OR SERVICE WILL MEET YOUR REQUIREMENTS, BE UNINTERRUPTED, TIMELY, SECURE OR ERROR-FREE, THAT DEFECTS WILL BE CORRECTED, OR THAT THE SOFTWARE OR THE SERVER THAT MAKES IT AVAILABLE ARE FREE OF VIRUSES OR BUGS OR REPRESENTS THE FULL FUNCTIONALITY, ACCURACY, RELIABILITY OF THE MATERIALS OR AS TO RESULTS OR THE ACCURACY OF ANY INFORMATION OBTAINED BY YOU THROUGH THE SERVICE.

(III) IN THE EVENT OF SYSTEMS OR COMMUNICATIONS ERRORS, BUGS, OR VIRUSES RELATING TO ACCOUNT SETTLEMENT OR OTHER ELEMENTS OF THE SERVICE OR RESULTING IN LOSS OF DATA BY YOU OR ANY OTHER DAMAGE TO YOUR COMPUTER EQUIPMENT OR SOFTWARE, WE SHALL IN NO WAY BE LIABLE TO YOU AND WE RESERVE THE RIGHT TO VOID ALL GAMES IN QUESTION AND TAKE ANY OTHER ACTION TO CORRECT SUCH ERRORS SAVE THAT WE ARE NOT REQUIRED TO PROVIDE ANY BACK UP NETWORK AND/OR SYSTEMS OR SIMILAR SERVICES.

(IV) THE COMPANY SHALL NOT BE LIABLE FOR ANY ACTS OR OMISSIONS MADE BY YOUR INTERNET SERVICE PROVIDER OR OTHER THIRD PARTY WITH WHOM YOU HAVE CONTRACTED TO GAIN ACCESS TO THE SERVER THAT HOSTS THE SITE.

12. Limitations of Liability

13. Breach of these terms and conditions

i) You agree to fully indemnify, defend and hold us and our suppliers harmless immediately on demand from and against all claims, demands liabilities, damages, losses, costs and expenses, including legal fees and any other charges whatsoever, howsoever caused, that may arise as a result:

  1. of any breach of this Agreement;
  2. violation by you of any law or the rights of any third party;

14. Settlement of Disputes

15. Duration and Termination

  2. pay all amounts due and owing to the Company; and
  3. remove the Software from your computer equipment and destroy all related documentation in your possession, custody, power or control.

(v) The right to terminate this Agreement given by this clause shall not prejudice any other right or remedy of either party in respect of the breach concerned (if any) or any other breach.

(vi) Upon the termination of this Agreement for any reason, except as otherwise provided in this Agreement and subject to any rights or obligations which have accrued prior to termination, neither party shall have any further obligation to the other under this Agreement.

16. General

(i) We reserve the right to modify or terminate the Service or elements of the Service at any time, without notice, and we will not be liable to you as a result of any such action.

Tour Leaders

Q. How do I become a tour leader?
A.

To become a tour leader simply visit our Tour Leaders’ page and Sign Up as a Leader.

Q. How do I get a quote?
A.

If you are a new tour leader, you can sign up for a tour leader’s account. At the end of the sign-up page, you can select "Sign Up and Get a Quote" and you will be led to the Get A Quote page.

If you already have a tour leader’s account, simnply log in to your account, click on the My Settings tab on the upper right hand corner of any web page, and select Request a Quote.

Q. Do you handle group airfare?
A.

YES, we handle all of your group airfare needs and we do this at cost, with no markup fees. We even show you the contract. Once we have your dates of travel narrowed down to a window of +/- 3 days, we begin the process of getting contracts from the different airlines. Group Airfare can only be booked around 11 months prior to the tour dates. To date, we have booked group airfares for our tour leaders through a number of preferred El Al Airlines, United/Continental, Air Canada, US Airways, Delta and Iberia Airlines, but we can and will honor any request through any airline should you wish to arrange a stopover in any other country.

Q. Can you provide me with advertising materials to promote?
A.
  • Need a 1-page Flyer? If you can’t print in full-color, then please contact us so we can send you out a box of 50 or 100 in full-color.

Q. Do you provide custom reporting of my Passengers List?
A.

Our website keeps all of your passengers together under your group name. You can log in to your tour leader’s account at any time and view in real-time all of your reports and export them to Excel.

Q. How do I see my Booking Reports?
A.
To view your Booking reports for the group in real-time:
  1. Log in to your account with your email.
  2. Once logged in, Click on the My Settings Tab on the upper right.
  3. In the My Settings Control Panel, click on Booking Reports.
Q. What are the standard of your buses?
A.

Samson Tours works with only the highest quality of bus companies. The buses we reserve for you are classified as NEW (no more than 7 years old) and are cleaned daily to the highest of standards. All of our buses are equipped with ice-cold air conditioning or heating, adjustable seating, a refrigerator for water bottles, and personal lighting. Buses with free Wi-Fi on board can also be reserved upon request.

Q. Can I choose my own licensed tour guide or bus driver?
A.

Samson Tours can hire any licensed guide or driver for your tour, based on your request.

Q. Do you provide custom banners for my group?
A.

Each tour bus receives two bus signs, one for the front and the back. The sign has the name of the tour leader, the name of the group, place of origin and  our company logo. For groups of 2 buses or more, we will provide a bus banner that is attached to the external front end of the bus.

Q. Do you provide headets or an internal Whisper system?
A.

All groups of 25 passengers or more receive an internal headset Whisper System. This headset system has proven to be invaluable in quiet, busy, and crowded spots and allow the group the maximum elbow-room to both listen and explore the sites visually. Both the guide and the tour leader have microphones from which they can speak to the group, while each of the participants have a small earpiece. The earpiece can be switched out with one’s own earphones for ipod, iphone, etc. Free batteries (capable of lasting the entire tour) are included with each headset.

Q. Do you provide name tags?
A.

Upon arrival, all participants will receive a name tag, which is fashionably held by a neck-strap with the Samson Tours logo. The neck-strap has a safety mechanism that allows it to break should the client get hung up on something. On the back of each name tag are a list of emergency numbers, Samson Tours contact numbers, and the names and numbers of the hotels we’ll be staying at throughout the tour.

The tour leader can opt not to use name tags. However, it should be known that name tags not only provide an added security to the group (indicating them as group members), but also streamline the group through security points.

Q. Can you provide me a with a cell phone and internet?
A.

All of our tour leaders receive a free cell phone and wireless internet for use throughout the tour in Israel.

Q. When is our Passengers Rooming List due?
A.

The Passengers Rooming List for hotels is due 2 months prior to arrival. But don’t worry. Updates can be made to the list of final travelers up to the time of departure.
